Privacy information.
Editable starting draft for client approval. Final legal wording and responsible-organisation details remain to be confirmed.
This is an editable starting draft for client approval. It is not legal advice. It must remain a draft until the Forum team confirms the controller identity, lawful bases, providers, transfers, retention schedule and final contact route.
Controller and contact
Client decision required: confirm the legal name and contact details of the organisation responsible for this processing, its postal address, and whether a representative or data protection officer must be named. Until that is confirmed, general questions can be sent to hello@cricketinnovationforum.com through the Contact page.
What information we collect
Depending on the journey, the Forum may collect an attendee application such as full name, individual email address, organisation, job title, areas of interest, an optional updates choice and any attribution supplied with the form. A contribution enquiry may include name, email, organisation, interest, message and response consent. An account and sign-in journey may include an email address, verification and security records. Registration and admission records may include name, organisation, job title, application or admission status and relevant Eventbrite or booking references. Booking and attendance records may include selected activities, booking status, attendance status and meeting responses. An optional attendee network profile may include display name, organisation, job title, introduction, a choice to be visible and contact requests.
The Forum should confirm this list through an information audit before publishing the notice and should collect only information needed for the stated purpose.
Purposes
The proposed purposes are to review and respond to applications and contribution enquiries; create and secure accounts; manage admission and registration; provide the attendee portal; administer bookings, meetings and attendance; deliver the event; respond to accessibility or privacy requests; maintain security, support and audit records; and send optional event updates where a person has chosen to receive them. Client decision required: confirm each purpose, the fields used for it and whether any other purpose or automated decision-making applies.
Lawful bases
Client decision required: confirm the lawful basis for each purpose before publication. Possible bases may include taking steps at an individual’s request or performing a contract for an account, registration or booking; legitimate interests for defined event administration, security or support activities after the required assessment; legal obligation where a specific obligation applies; and consent for optional updates or any other processing that genuinely requires it. These are options for the client’s decision, not a conclusion. The published notice must state the selected basis and any legitimate interests in plain language.
Optional updates and withdrawal
Optional event updates must use a separate, clear and unticked choice. They must not be required to apply, register or use the portal. A person can withdraw that choice at any time through the unsubscribe route supplied with a message or by contacting hello@cricketinnovationforum.com. Withdrawal should be as easy as giving the choice; processing that relied on consent should stop as soon as possible, subject to any separate reason the Forum is permitted to retain a minimal suppression record. Client decision required: confirm the channels, message types and consent record used.
Who receives information
Information may be available to authorised Forum organisers who review applications or operate the event. Relevant information may be shared with a partner connected to a confirmed booking only where needed for that meeting or demonstration and after the scope is approved. Approved Eventbrite services may receive the information needed for private booking and confirmation. Service providers may process information on the Forum’s behalf only under an approved supplier list and appropriate arrangements. Client decision required: name or clearly describe each recipient category, confirm any international transfers and safeguards, and confirm the exact information shared with booked partners and Eventbrite. This draft does not assume a provider, transfer or wider partner access.
Retention
Client decision required: approve a retention schedule or criteria for applications and enquiries, account and security records, registration and admission records, bookings and attendance, network profiles, consent choices and suppression records. The Forum should keep each category only for as long as its stated purpose or a legal requirement requires, then securely delete or anonymise it. No retention period is asserted in this draft.
Rights and complaints
Subject to the circumstances and applicable law, people may have rights to access, correct, erase or restrict use of their information, object to processing, receive portable information and withdraw consent where consent is the basis. The final notice should explain which rights apply to each purpose and how to exercise them. Requests and privacy complaints can be sent to hello@cricketinnovationforum.com; the Forum should add the final controller route and identity checks. People can also complain to the UK Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/.
Cookies and technical records
Client decision required: audit the live website, portal and hosting configuration before publication. The final notice should list the actual cookies and similar storage or access technologies, their purposes, providers and duration, and identify which are strictly necessary and which require consent. It should also describe technical records only where they are actually collected, such as request, security, error, timestamp, IP address or user-agent records. This draft makes no claim that analytics, advertising or behavioural tracking is in use. Non-essential storage or access technologies must not be enabled before the required choice and consent flow is approved.
Security, transfers and updates
Client decision required: confirm the safeguards, hosting locations, international transfer mechanism where relevant, and any automated decision-making or profiling. The Forum should provide this information when it collects the data, review the notice when processing changes and publish the effective date and version after approval.
